(1) The Role
We are seeking a high-impact Executive Assistant & Project Manager to serve as the strategic "External Brain" to our CEO. This is a role for a high-agency professional who views "Support" as "Execution Management."
You will not just manage a calendar; you will be responsible for capturing the CEO’s vision in real-time, translating high-speed verbal downloads into actionable workflows, and ensuring that nothing—absolutely nothing—falls through the cracks. Based in our Cascais office, you will act as a force multiplier, managing both the CEO’s strategic objectives and the support team required to execute them.
(2) Key Responsibilities
- Information Synthesis & Reporting: Actively capture all verbal instructions/downloads from the CEO. Immediately translate these into Asana tasks and communicate urgent action items via WhatsApp.
- Daily Accountability (The "Consolidated Report"): Provide a daily end-of-day summary of what was realized, what is pending, and what is prioritized for the following day, ensuring full alignment with the CEO’s goals.
- Strategic Delegation & Management: Identify "low-leverage" tasks (e.g., photo sorting, contact list management, basic social media posts). You will be responsible for researching, hiring, and managing cost-effective virtual assistants/specialists to handle these, remaining the single point of accountability.
- Mindset & Agenda Alignment: Conduct daily/weekly syncs to proactively align the CEO’s schedule with his mindset and long-term objectives. You are the gatekeeper who ensures his time is spent on $10,000/hour tasks.
- Expectation Management: Act as a critical filter. You must be comfortable clarifying requests, aligning expectations, and providing "push-back" when necessary to maintain focus and trust.
- Operational Oversight: Bridge communication gaps between the CEO and the team (e.g., ensuring reporting standards are met by other managers).
(3) Requirements
- Project Management Mindset: You likely have a background in Project Management or high-level Operations. You think in "deadlines" and "deliverables," not "tasks."
- Expert Level - Asana & Tech Stack: You must be a power user of Asana and WhatsApp for business coordination.
- Resilience & Intelligence: You are "thick-skinned" and thrive under a demanding, fast-paced leader. You solve problems before they are even mentioned.
- The "Manager of People": Ability to delegate and audit the work of others to ensure the CEO only sees the final, polished result.
- Fluency: Full professional fluency in English and Portuguese is mandatory.
- Presence: Must be based in or near Cascais with the legal right to work in Portugal (NIF/NISS).
