Hello there, hope you are well.
I have changed the procedure for Sales Quality interaction in order for us to have as a team a faster and better result.
Currently -> Sales creates the Sales Quality Request in Odoo App + Logs / Send emails to Quality in many places + There are doubts on both sides on how to communicate and what is on whom
SalesPeople offered in the past to help Quality. Quality team is still quite young in the company and still quite slow (even though much much better than before 😊
Please follow this flow:
REQUEST CREATION = SalesPerson creates Sales Quality Request in Odoo App + Put the Original documents sent by Client in the Request (attachment log = questionnaires / questions / platform links, etc) + ALREADY ADD THERE THE LINK TO A FILE WITH ALL STANDARD DOCUMENTS OF THE RELATED PRODUCT(S) -> This folder is to be created by the SalesPerson inside of Quality Sales TD (check printscreen attached), inside of the folder there will be all standard documents which were found by SalesPerson in the specific folders. SalesPerson must mention to QualityPerson if the Folder is complete or not (composition is herein below). **SalesPeople will also put the link of the all standard documents folder of such a product inside of the Standard Document App (on the specific field in the app). And QualityPerson will update the folder if any pdf is changed so it may continue up to date.
REQUEST RECEPTION = QualityPerson will verify if it fully understands the request, if the all standard documents folder is in fact done, if there are any doubts, and QualityPerson will list (count) the missing documents (on the specific field in the app).
REQUEST PROCESS = QualityPerson will process the other documents (the ones that need to be filled, created, etc).
REQUEST BLOCKAGE = Quality Request procedure and progress is still on Quality Responsibility. If there is anything missing from other departments, Quality must have tagged the related person inside of the Request + Update the Necessary Fields (Related Person / Missing Info / Why) + Quality will send 1 email per week per person with pending matters on them. If Quality has a question that SalesPerson cannot reply, only the client, then Jose will get authorization from SalesPerson to contact directly the client quality team by email (keeping SalesPerson in copy of conversation = but there is no sense in SalesPerson intermediate this situation).
REQUEST RESULT = QualityPerson will add up the remaining documents and make a final Zip folder + nice email and send it to the client.
Ex: Lets suppose that Andrei has 10 Quality Requests Pending -> He will go in all the 10 of them and put inside the standard document for the related product(s). If it is a new request, he will create the request and the all standard documents folder at once (from now on). If Quality does not understand 2 requests or more of andrei, it will be communicate in a log plus CTA will be sent to his email saying why they are blocked, what is expected of him and when can he reply , in the meantime Quality will work on the part they do understand or do quality basic doc.

Special Statements (any that is not the Standard Statement mentioned in the All Standard Document Folder)
Deadline for SalesPeople = review their pending requests / create folders for related products -> Next week Monday 14/02.
Deadline for QualityPeople = report of docs pending on Quality Sales / Status / Forecast due tomorrow 08/02/22 (after Quality Meeting is done, presentation is ok). Weekly routine from now on, responsibility of Jose to log in #SALESQUALITY

QUICK REMINDER HERE ON QUALITY SALES DOCUMENTS STRUCTURE
Sales Quality Request = flow is above = to be done inside of Sales Quality Request app in Odoo. This is valid for all demands from clients (questions, questionnaires, statements, complaints, etc).
Standard Quality Documents (tds, standard statements, msds, flowchart) = SalesPerson to takein Standard Quality App or in its absence take in TD and add in the App the link please. If there is a doubt or request about such docs, please log Quality Assistant there (Tamara). Unless the product does not exist = then tag Production assistant (Alessandra) in the Product app (closest product to the one you are requiring to be created = once created it will be validated by Production Manager = me).
Docs related to Lots (lab tests and coas) = SalesPerson to take in COA App or in its absence take in TD and add in the App the link please. If there is a doubt or request about such docs, please log Quality Assistant there (Tamara). If the lot does not exist in CoA app but exist in Inventory = anyone can create the lot and then tag Quality.
THIS MEANS = DO NOT ASK FOR QUALITY DOCUMENTS IN ANY OTHER PLACE (NOT IN SALES ORDERS, NOT IN SALES OPORTUNITIES, NOT IN INVOICES, NOT IN LOT, NOT IN PICKING, NOT BY EMAIL, NOT IN PRODUCT APP UNLESS PRODUCT DOES NOT EXIST)
